How and why we collect data

One of the core values of Fraktio is respect for people, whether they are acting as individuals or as representatives of a company. It is very important to us that, when dealing with Fraktio, everything is based on mutual trust. We feel very deeply about this trust and do not want to break it under any circumstances, whether you are our customer, potential customer, potential employee i.e. jobseeker, employee or just a user of our website.

For us, transparency is extremely important, and in this document we strive to openly describe what information we collect about people. Respect for people is extremely important to us, and the processing of personal data is no exception to this.

Whose data we process

We process your data in accordance with this Privacy Policy if you are our:

  • Customer (contact person(s))
  • Potential customer
  • Partner or subcontractor
  • Jobseeker
  • User of our website
  • “Darling”, i.e. the spouse of our employee

Regardless of who you are, we treat personal data and its processing with the utmost care.

Why we process your data and what data we collect

We process your data in order to maintain a customer or cooperation relationship and to market our services or jobs.

Below we describe our processing in more detail, depending on which of the above-mentioned groups you belong to.

Our customer

We store information about you that allows us to keep in touch with you. This information includes your First Name, Last Name, Company, Phone number and Email address. In addition, we collect company information and invoicing information about our customers’ companies for invoicing purposes. The basis for processing the data is an agreement between us.

Our potential customer

We process your data for the purpose of marketing our services, which includes sending advertisements and other direct communications by phone, SMS, email or via social media such as Facebook, LinkedIn, Instagram and Twitter. Such processing of data is based on our legitimate interest. As a potential customer, we collect information about you that allows us to identify you (First Name, Last Name, Company, Phone number and Email address). As a company, we strive to identify parties with whom we could potentially work together.

As a company, we do not bother you with emails (spam) or use questionable customer acquisition methods. We strongly believe in helping others and doing good – without any ulterior motives. When we help others, we believe that good things will come to us, too.

Our partner or subcontractor

We process your data in order to maintain our cooperation or subcontracting relationship. The processing of the data is based on our cooperation agreement or subcontracting agreement.

Jobseeker

We collect information about you that we receive from you. This information includes the jobseeker’s basic information (name, contact details), free-form and voluntary additional information (application, attachments, CV) and possible work samples.

As a company, we do not bother you with emails (spam) or use questionable customer acquisition methods. We strongly believe in helping others and doing good – without any ulterior motives. When we help others, we believe that good things will come to us, too.

We keep the above information solely to ourselves within Fraktio and will not disclose any information without your express permission. If we think that applying to companies other than Fraktio would help you find a job, we will ask you what we could do about it. This is based on our desire to help people (e.g. those at the beginning of their careers) move forward in their careers. In these situations, we will introduce you to each other (do an intro).

As a jobseeker, it is important for you to understand that when applying to Fraktio, your data will be processed not only by the person in charge mentioned in this document, but also by a large and varied group of Fraktio employees, the Fraktio recruitment team. Depending on the situation, this recruitment team may even consist of the entire company. The recruitment team has no permanent members, but we have taken technical measures to ensure compliance with the requirements of the EU data protection regulations and, on the other hand, your rights as a jobseeker (see the section Your rights).

When we are recruiting, what is important to us is to get to know you as a person, NOT to collect a personal data register.

Fraktio never uses the personal data of jobseekers for business purposes.

User of our website

We collect data for the purposes of analysing the use of our website, statistical monitoring and assessing the attractiveness of our content. This data allows us to improve the functionality of the website, to plan content that is more useful and interesting to you and to show you ads based on your online behaviour. All data collected is anonymous and the actions performed on our site cannot be attributed to a specific individual. You can block ads shown to you based on your online behaviour by removing and disabling cookies in your browser.

If you are a user of our website and visit our website from a company network, we can identify the visiting company with the Leadfeeder service. You can read more about Leadfeeder’s Privacy Policy at https://www.leadfeeder.com/privacy/

When it comes to users of our website, we can see information such as “this many users have visited page x (number)”, “this many users clicked on that link” and so on.

If you submit a contact request through our website, we will process your information in one of the above ways, depending on which group you belong to.

Darling

If you are the spouse of our employee, i.e. a “darling”, we collect your email address, phone number and food allergies in addition to your basic information. We use this information when organising events and for the ICE contact list for emergencies.

The source of this information is Fraktio employees.

Where we obtain the information

We collect and obtain your information from the following sources:

  • Typically, we obtain the information from you, for example through the contact form on our website, a job advertisement or other personal interaction. Providing personal data is a prerequisite for establishing and maintaining a customer/employment relationship.
  • If you are a decision-maker in your company, we may collect your information publicly from the web (e.g. from your company’s website).

Who else processes your data?

We regularly use the following service providers to process data:

  1. Google
  2. Visma Severa
  3. Airtable
  4. Hubspot

Third parties have no independent right to use the data they receive from us beyond the scope of the mandate. We ensure that all our service providers to whom we disclose your data comply with data protection legislation.

We will not disclose or share your data with third parties except as described in this Privacy Policy, unless you explicitly request or authorise us to do so, or unless there is a necessary legal reason defined in the law for the disclosure of the data.

We never sell your data to anyone.

Regardless of the data processor, Fraktio is directly responsible for all personal data collected to the persons themselves and under no circumstances shifts the responsibility onto others.

Transfer of data outside the EU

We strive to choose secure data centres in Europe as the storage location for data. If this is not possible, we have concluded a separate agreement (DPA) on this with our service providers.

Whenever possible, we use service providers that have joined the Privacy Shield programme (https://www.privacyshield.gov/list).

How long do we process your data?

We only process data for as long as we need it for the purposes for which the register is intended. We erase all unnecessary personal data from the register every two years. You can request the erasure of your data from the register by sending a request via email to info@fraktio.fi. In this case, we will erase the data immediately from all our registers, if this is possible taking into account the law and regulations.

How do we protect your data?

We use the following safety measures to ensure data security.

  1. We process personal data only using modern information systems that have been found to be secure and that provide protection from the most typical data security risks.
  2.  We restrict access to data with passwords and personal user IDs only to those persons who are entitled to it and who need it for the purposes described in this Privacy Policy.
  3. We store your data on computer servers in data centres located in locked and guarded premises to which unauthorised access is denied.
  4. We restrict access to the servers using firewalls and encrypt all data communications to the servers.
  5. We regularly make backups of your data.

Your rights

You have the following rights, the requests for the exercise of which must be submitted to info@fraktio.fi

  • The right to inspect what data about you has been stored in the personal data register.
  • The right to request the rectification of your personal data.
  • The right to demand the erasure of your personal data.
  • The right to transfer your data to another system when the data has been provided by you and the processing of the data is based on consent or agreement.
  • The right to prohibit us from sending direct marketing to you or restrict the processing of disputed data until the matter is resolved.
  • The right to object to the processing of your personal data if you feel that we have processed your personal data unlawfully or that we do not have the right to process your personal data.
  • The right to lodge a complaint with a supervisory authority about the processing of your personal data.
